Guide – How to View an Order on Bookvault

Learn how to view and track your Bookvault orders, check production progress, view order details and costs, search previous orders, and filter orders through the Bookvault portal.

Once you've placed an order with Bookvault, you can monitor its progress directly through your account.

Step 1: Go to View An Order

From the navigation menu on the left-hand side of the Bookvault portal, select View An Order.

 

Step 2: View your Bookvault orders

You'll be taken to the order tracking page, where you can see your most recent orders and monitor their progress through production.

Step 3: Check your order's production status

The green circles show the different stages your order progresses through.

These include:

Created → Acknowledged → Approved → Sent to Print → Printed and Bound → Packed

You can hover over a green circle to see the date and time your order reached that stage.

At the end of the month, the order will also be included in your summary invoice, or your invoice to pay if you're using a credit account.

Step 4: See which books are included in an order

Need a quick recap of what you ordered?

Select View Lines against the relevant order. This will expand the order and show the different titles included, along with the quantities ordered.

Step 5: View your order summary

For more information about an order, select View Order against the order you'd like to check.

The Order Summary page contains further information about your order, including:

  • Your reference number
  • Your Bookvault (BV) reference number
  • Current order status
  • Delivery address
  • Selected shipping option
  • A breakdown of your order costs

Your BV reference number can be used to help our team locate your order if you need to contact us.

You can also edit the delivery address of the shipment from this page.

 

 Step 6: Search for an order

If you have a large number of orders, use the search function in the top-right corner of the page to find a specific order.

You can search using:

  • Order number
  • Title name
  • ISBN
  • Recipient
  • Delivery postcode

As you type, you can select an item from the dropdown to enter the order management page, or press Enter to view all orders matching your search criteria.

 Step 7: Filter your Bookvault orders

You can also filter your orders to make it easier to find what you're looking for.

Select Filters in the top-right corner of the page.

You can filter orders by:

  • Production status
  • Order status
  • Order date
  • Print partner

For example, you can use the filters to view only the orders you currently have in production.

 Can I make changes to a draft order?

If you've saved an order as a draft, you can access it from the View An Order page and make changes before completing the order.

If you no longer want to proceed, select Delete Draft. Alternatively, you can complete the order by selecting Pay Now or Use Funds.

Can I cancel an order I've already placed?

If you've accidentally placed an order, you may be able to cancel it provided it hasn't progressed too far into production.

Select the Actions dropdown against the order and choose Cancel. If the cancellation is successful, the order will be removed from your account and any money paid for the order will be returned to your account.

This is much cleaner than keeping the old Step 17, 18, 19 at the beginning. It also means the article now has one logical journey: find order → track it → inspect it → search → filter, with the draft/cancellation information as FAQs at the bottom rather than leftovers from another guide.
